Youth sports waiver and registration guide for organizers

Waiver collection is an operating workflow: use the approved document, make the acceptance step clear, retain the version that was accepted, and give staff visibility into the result.

Start with the approved waiver source and version

Before adding a waiver to registration, identify the organization-approved source, its version name or date, and the owner responsible for future changes. Do not treat a copy from a prior season as current without confirming it.

Keep the waiver separate from staff notes and form instructions so a participant can understand what they are acknowledging. If the source changes, decide which registrations need the updated acceptance step.

Present the acknowledgement and choose signature handling

Present the waiver in the registration flow with a clear required acknowledgement. If your organization requires a typed signature, make that explicit and decide whose name should be entered.

In the Ledge youth registration workflow, a program can require a waiver acknowledgement or typed signature and retain the configured version with the registration.

Retain the accepted version and show staff the status

Design the workflow so organizers can see whether a registration has completed the required waiver step. The record should make it clear which version was accepted, without requiring staff to reconcile form exports manually.

Consider how staff will handle incomplete entries, corrections, and a waiver update after registration begins. That review process should be defined before the program opens.

Review local and organization requirements

Requirements can depend on your location, organization, insurer, governing body, and the program itself. Confirm the document, signer, retention approach, and any required notices with the people responsible for those decisions.

Then place the waiver plan into the broader launch sequence using the youth sports registration checklist. For a broader view of Ledge registration behavior, see the support FAQs.
